The Ruth Bancroft Garden, a public garden and a non-profit 501 (c) (3) organization, is a nationally significant collection and display of drought tolerant plants from arid regions of the world, which Ruth Bancroft found can thrive in the inland coastal region of California.

This multi-faceted and dynamic new position coordinates and supports fundraising activities for the Ruth Bancroft Garden, a nonprofit organization that preserves and shares a world-renowned 3-acre garden with the public and offers numerous programs and educational activities for all ages year-round.

This position reports to the Executive Director and collaborates with staff leadership and board committees to deliver excellent communications and information management to support all aspects of fund development for the Garden.

The successful candidate will have a high degree of proficiency in multiple databases and applications, primarily Altru and Constant Contact.  The position is responsible for data entry, reporting, and generating mailing lists for multiple tiers of members and donors, as well as personalized customer service and troubleshooting systems and processes.

The position will work with the staff marketing team and outside vendors to produce collateral and regular mailings and will create letters and email messages to support campaigns and acknowledge supporters.

The Development and Membership Manager will explore business sponsorships and grant opportunities and participate in planning and execution of special events throughout the year.


Position Summary:  The Development and Membership Manager coordinates and supports fundraising activities for the organization, under the direction of the Executive Director and in collaboration with the Development and Membership Committees of the Board of Directors as well as special event committees and volunteers.

This position works closely with the Marketing Department to create and share communications and collateral in support of fundraising goals; and with the Garden, Nursery, and Education Departments to support specific fundraising campaigns and opportunities.  The position also works with the Finance Department to assure that donation records are complete and accurate.


Essential Duties and Responsibilities:

Information management:

  • This position requires a high degree of proficiency in multiple databases and applications, primarily Altru and Constant Contact.  The position will be responsible for:
  • Data entry, reporting, and generating mailing lists for multiple tiers of members and donors for gift solicitations, renewals, and special appeals.
  • Troubleshooting membership account discrepancies and performing data clean-up.
  • Producing regular membership renewal mailings and reminders monthly and tracking results and identifying lapsed members for strategic follow-up.
  • Record-keeping for all fundraising activities is a key responsibility of the position.

Customer service:

  • The Development and Membership Manager will be the primary point of contact for our large and growing membership, with 5000+ current members who are the core of our individual support.  Providing personalized customer service by phone, email, and in person is a key component of this position.
  • This position will also be the liaison to donors and sponsors and assist in crafting strategies and communications to cultivate and acknowledge support.
  • Communications: The position will participate in creating content for mail and email campaigns as well as acknowledgement letters for all contributions received by the organization, creating compelling messaging and content to achieve fundraising goals and objectives.

Sponsorship for events and programs:

  • The Development and Membership Manager will participate in ongoing efforts to secure business sponsorship for special events and programs.  This activity includes researching opportunities as well as completion of on-line applications and associated correspondence and agreements.

Grants and special projects:

  • The position will assist in researching opportunities for grants from a variety of sources including foundations and local/state agencies, and creating content for grant proposals for general support and special projects, as well as required reporting on the use of granted funds.


  • The Development and Membership Manager will provide staff technical support to the Development and Membership Committees as well as committees for special events, and will coordinate with the committee chairs as needed.  The position will track event sponsorship and ticket sales and additional fundraising activities such as silent auctions and fund-a-needs.
  • This individual will also attend and work as part of the team executing special events, including community events at the Garden and at local venues.



  • Bachelor’s degree or equivalent experience.
  • A minimum of 3 years professional experience working in a data management, communication, and/or fundraising role, nonprofit experience preferred. Experience managing staff and volunteers desirable.
  • Familiarity with systems and best practices for nonprofit fundraising and experience with managing special events a plus.
  • Microsoft Office, Altru, Constant Contact, other fundraising and e-commerce platforms
  • Writing samples will be requested as part of the application process.
  • This position is a full-time job, working in the office in Walnut Creek generally Monday through Friday from 9 am – 5 pm.  Some evening and weekend work is required.  Occasional remote work is allowed as approved by the Executive Director.
